WFC is looking permanent Part-time ECE Professional Development Bursary Assistant to work 21 hours per week. The WCCRC ECE Professional Development Bursary Assistant reports to the Director of CCRC and is responsible for coordinating all aspects of the day-to-day activities and operations for the ECE Professional Development Bursary Project. The ECE Professional Development Bursary Assistant requires a flexible schedule and may include occasional evening and weekend hours.

Skills You Bring:  

Current knowledge of child care, child development, and family support issues, trends, and practice. 

  • Proficient in MS Office (Outlook, Excel, Word) and an ability to learn how to confidently manage and use various software platforms.
  • Demonstrated knowledge of cultural and family diversity and understanding of multiple barriers to accessing services.
  • Proven effectiveness and successful experience in organizational, communication, and leadership skills within a team. 
  • Knowledge, skills, and experience in services related to Westcoast content and activities. 
  • Demonstrated ability to deal tactfully and effectively with the public and maintain positive community relations. 
  • Effective English written and oral communication/presentation skills. 
  • Ability to work independently, take initiative, set priorities, manage multiple tasks, and meet deadlines. 
  • Strong organizational skills and ability to work well under pressure. 
  • Demonstrated effectiveness required as part of a staff team. 
  • Competency in languages in addition to English is an asset. 
  • Demonstrated knowledge and proficiency with productivity software such as Microsoft including word processing, spreadsheets, email, internet search, and other related applications. 

Requirements:  

  • Diploma or Certificate in a related field of early learning and care.
  • Minimum three (3) years of recent program assistant or related experience, or an equivalent combination of education, training, and experience. 
  • Satisfactory Criminal Record Check. 

Key Responsibilities:

  • In collaboration with the ECE Professional Development Bursary Project Manager, plans and oversees the delivery of key administrative supports including:
    • Responding to communications and inquiries
    • Provide the initial review of bursary applications, and drafting approval letters.
    • Maintain e the SharePoint site other software applications to process invoices, communications, and reports.
    • Maintains appropriate and timely communication with the Project Manager, Director, bursary recipients, community partners, and funders regarding policies and procedures, annual work plan, budget, reporting, invoicing, and all other communications. Schedule team meetings, prepare meeting agendas, and take minutes. 
    • In coordination with the communications team, support the development and sharing of promotional materials aligning with the Provincial standards. 
    • In coordination with the Project Manager, keep track of progress towards completion of the annual work plan, compliance with the program budget, and feedback regarding effectiveness every quarter or as the need arises.
    • Record expense reports and follow up with  
    • Record statistical data including geographic dispersal of bursary funds. 
    • Review new content on the Bursary website including testing of forms and functions.
  • Supports integration of ECE Professional Development Bursary annual planning with the agency’s overall strategic plan. 
  • Supports networks with relevant organizations in child care, child development, family support, and the broader social service sector. 
  • Represents the program and Westcoast in child care and broader communities.  
  • Performs other related duties as required.
